Volunteer Job Descriptions

President-Elect

The President-Elect’s primary role is to assist the President and prepare for the upcoming year.  Under guidance from the President, the President-Elect will become familiar with the processes and procedures required to run the chapter.  Required time commitment is approximately 5-8 hours per week.

The President-Elect is also expected to perform all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

Responsibilities

  • Attend the AMA Leadership Summit immediately preceding term.
  • Oversee AMA Phoenix’s signature event – Spectrum Awards..
  • In partnership with the President, oversee, guide, and support VP positions and committees.
  • Work with Sponsorship chair to build long-term sponsor relations.
  • Head nominating committee for the next Board year.
  • Plan the June Board Retreat to kick-off the next chapter year.
  • Work with the President to collect and compile information for Chapter Excellence Awards submission.
  • Work with the VP of Volunteers to build and fill board positions.
  • Assume the responsibilities of the President in his or her absence or inability to serve.
  • Responsibilities common to all Officers and Directors.

Vice President of Membership

The VP of Membership is responsible for creating a plan to drive member retention and acquisition and leads a team of two committee members and volunteers in executing that plan.

Projects may include

  • Develops and is accountable for the Membership Committee plan, budget and metrics reporting.
  • Develops quarterly direct marketing campaigns in conjunction with AMA membership drives.
  • Conducts membership surveys.
  • Follows up on leads, holds recruiting efforts through chapter programs, and develops recruiting materials.
  • Recruits companies for the AMA group membership.
  • Works with the VP of Volunteers on the Chapter’s  volunteer program.
  • Educates Board members on AMA value proposition.
  • Manages chapter data including member and prospect lists, sharing with other Board members as appropriate.
  • Works with the CEA Submission Team to ensure the Membership Committee is meeting the requirements for awards submission.
  • Assumes responsibilities common to all officers and directors.

Commitment

  • 2-5 hours per week.
  • Attend monthly program meetings.
  • Attend monthly board meetings.
  • Provide monthly board report and complete chapter dashboard.

Requirements

  • Minimum of 5 years overall marketing experience with a focus on program management, direct marketing or business development, preferred.
  • Strong communication skills
  • Successful track record of building and managing a team.
  • Ability to work cross-functionally – coordinating initiatives across the AMA Board and chapter.

Vice President of Programming

The Vice President of Programming will develop relevant, timely programming that encourages retention and leads to a growing chapter while rethinking more hands-on and interactive learning opportunities for our members.

The Vice President of Programming reporting to the President, is responsible for developing, implementing and executing the chapter’s overall monthly program strategy aligning with the budget, as well as managing and leading a committee to implement all programs and special events.

Required Time Commitment

This position requires approximately 4 hours per week of your time.

Expectations and Duties

  • Develops and implements chapter monthly program plan and budget.
  • Plans monthly programs including recruiting speakers and all details to ensure a successful program.
  • Recruits and interfaces with monthly speakers, who are required to be senior marketing leaders with a particular expertise, to ensure successful programs.
  • Manages programs committee, as well as recruiting volunteers, to ensure all logistics are handled according to best practices in event planning to ensure successful programs. Specifics of event: must be locked in a minimum of 60 days in advance (venue in place; announcement finalized, on website and turned over to Communications Committee).
  • Works collaboratively with VP of Sponsorship (or committee designee) on program sponsorship needs, as well as ensuring companies sponsoring program are supported with items detailed in their agreement.
  • Collaborates with VP of Communications and VP of Membership to ensure all program communications are delivered and executed according to communications and programs timeline and ensure events are widely publicized through all channels.
  • Negotiates with all vendors to ensure the organization is paying competitive, group or non-profit rates.
  • In conjunction with other teams, optimally positions and promotes event to ensure organization meets attendance and financial goals.
  • Creates a succession plan for VP position, as well as any other programs documentation.
  • Keeps President and President-Elect informed on programs and any other necessary committee updates.
  • Monitors and tracks committee budget.
  • Oversees volunteer committee who assists with function of programming.
  • Attends monthly board and committee meetings
  • Provides monthly board report and dashboard numbers to the Executive Committee before each board meeting.

Requirements

  • Active chapter AMA membership (required).
  • Degree in marketing, advertising, communications or related professional experience.
  • Experience negotiating and implementing high profile events.
  • Excellent interpersonal and written communication skills.
  • Successful track record of building, motivating and managing a committee.
  • Ability to work cross-functionally, coordinating across a large, dynamic organization with multiple board members and committees.
  • Ability to attend 1+ Ama Phoenix events per month, either in-person or virtual
  • Ability to attend monthly board meetings.

Treasurer

The Treasurer, an Executive Committee and Board of Directors volunteer position of the AMA Phoenix Chapter, oversees or performs the financial processing, tracking, reporting, and collection of all Chapter funds in order to monitor and manage the financial performance and health of the Chapter in achieving its financial goals.

Required Time Commitment

Approximately 3 Hours per Week

Specific Responsibilities

  • Maintain Chapter financial accounts.
  • Receive and disburse all Chapter funds.
  • Deposit all received checks promptly!
  • Monitor the disbursement of funds and compare income and expenses to the Chapter budget throughout the year.
  • Maintain official Chapter records with the date of each member’s last dues payment.  Receive and verify dues collected and remitted monthly from AMA.
  • Prepare monthly reports and send them to AMA each month.
  • Attend weekly AMA Phoenix Chapter Executive Committee meetings.
  • Attend monthly AMA Phoenix Chapter Board of Directors meetings to present monthly income and expenses financial reports.
  • Prepare a statement of financial condition at year-end. Include a copy of the preliminary budget and the actual expenditures by category. Send copies to the President and AMA.
  • At year-end, oversee completion of the Professional Chapter Financial Report Form, signed Signature Page with June 30th Reconciled Bank Statement and sent to AMA by August 31.
  • Secure signature cards and forms for changing signatures on all Chapter accounts before July 1.
  • Prepare the preliminary Chapter budget based on estimates provided by AMA Phoenix Chapter Board of Directors.  Submit to the AMA Phoenix Chapter Board of Directors for approval and revisions. Email a copy of the completed budget to AMA by August 1.
  • Submit annually required forms and applications (if necessary) for incorporation and tax exemption. Information is available from AMA. File required tax forms with IRS and other state or local agencies as required.

Social Media Manager

AMA Phoenix is looking for a Social Media professional with an interest in volunteering. Our Social Media Manager will be responsible for event promotion on all social media platforms, curating content, sharing post-event highlights, and helping out with some Canva graphics when necessary.

Required Time Commitment

Approximately 1-2 Hours per Week

Specific Responsibilities

  • Ensure that events are posted in a timely manner according to the content calendar.
  • Have good written communication skills.
  • Have the ability to attend monthly committee meetings. Time and day will be decided based on collective availability.
  • Share post-event highlights on social media channels.
  • Proficient with Facebook, Twitter, LinkedIn, Instagram, MeetUp, YouTube, Canva, and the Google Suite.
  • Coordinate with other committees and committee members as necessary to promote content or events throughout the organization.

Specific Requirements

  • Must have experience marketing to a B2B audience or professional organization.
  • Must be able to commit 1-2 hours per week ensuring that KPIs are being met.
  • Have the ability to attend (1)+ AMA Phoenix event per month, either in-person or virtual.

  • Working closely with Marketing & Communications team

Director of Acquisition

AMA Phoenix is looking for a Director of Acquisition with an interest in joining the Board as a Volunteer. This position only requires (4-6)  hours per month of your time, and will be reporting to the VP of Membership. The Director of Acquisition will be responsible for leading membership recruitment efforts on an individual and group level, developing recruitment plans, and growing the AMA Phoenix chapter’s overall membership. 

Required Time Commitment

Approximately 4-6 Hours per Month

Specific Responsibilities

  • Lead and execute recruiting efforts to drive member acquisition through the chapter’s various programs.
  • Develops and updates recruitment plans and marketing campaigns in conjunction with AMA membership drives.
  • Recruits companies for AMA group membership.
  • Will manage chapter data including but not limited to prospect lists in conjunction with other Board members as appropriate.
  • Must have working knowledge of MS Office and G-suite
  • Coordinate with other committees and committee members as necessary to achieve organizational goals.

  • Minimum of (2) years overall marketing experience, preferably with a focus on program management, account services, or business development.
  • Must be able to commit 1-2 hours per week ensuring that KPIs are being met.

Membership Coordinator

AMA Phoenix is looking for a Membership Coordinator with an interest in joining the Board as a Volunteer. This position only requires approximately (4) hours per month of your time, and will be reporting to the VP of Membership. The Membership Coordinator will be responsible for assisting the Membership Director(s) and VP with new membership activities and retention efforts.

Expectations and Duties

  • Works closely with the VP of Membership and the Membership Directors to develop membership retention events and activities.
  • Assists in the planning and execution of new member events.
  • Must have working knowledge of MS Office and G-suite.
  • Coordinate with other committees and committee members as necessary to achieve organizational goals.

Spectrum Entries Volunteer

AMA Phoenix is looking for two (2) Marketing professionals with an interest in joining the Board as a Volunteer. This position requires (4) hours per month of your time, and will be reporting to the President-Elect. Spectrum Entries Volunteers will be responsible for managing the 2023 Spectrum award entry process.

Expectations and Duties

  • Manage award entry process.
    • Organizing entries into folders and files to prepare for judging.
    • Will follow up with all applicants to ensure all documents are submitted in a timely manner
  • Assist in the production and presentation of How to Enter the Spectrum Award video series. (June-December) Will communicate the process with all interested applicants.
  • Communicates with other Spectrum committee members as needed to meet KPIs.
  • Include or inform the President-Elect of all significant changes in area of responsibility.
  • Attend all Spectrum Awards committee meetings.

Requirements

  • Currently pursuing a marketing related field of study.
  • Need to have flexibility to follow up with quick turnarounds/deadlines.
  • Proficient with Google Suite, specifically Google Sheets, files, and folders. Microsoft Suite, specifically Excel, files, and folders.
  • Proficient with G-Suite, Click-Up (Slack preferred)
  • Must attend the Spectrum Awards ceremony – can help to set up, tear down, etc.
