Volunteer Job Descriptions

Director of Acquisition

AMA Phoenix is looking for a Director of Acquisition with an interest in joining the Board as a Volunteer. This position only requires (4-6)  hours per month of your time, and will be reporting to the VP of Membership. The Director of Acquisition will be responsible for leading membership recruitment efforts on an individual and group level, developing recruitment plans, and growing the AMA Phoenix chapter’s overall membership. 

Required Time Commitment

Approximately 4-6 Hours per Month

Specific Responsibilities

  • Lead and execute recruiting efforts to drive member acquisition through the chapter’s various programs.
  • Develops and updates recruitment plans and marketing campaigns in conjunction with AMA membership drives.
  • Recruits companies for AMA group membership.
  • Will manage chapter data including but not limited to prospect lists in conjunction with other Board members as appropriate.
  • Must have working knowledge of MS Office and G-suite
  • Coordinate with other committees and committee members as necessary to achieve organizational goals.

Specific Requirements

  • Minimum of (2) years overall marketing experience, preferably with a focus on program management, account services, or business development.
  • Must be able to commit 1-2 hours per week ensuring that KPIs are being met.
  • Will be flexible and accommodating to attend (1) monthly committee meeting. Day and time TBD depending on collective availability.

VICE PRESIDENT OF PARTNERSHIPS AND SPONSORSHIP

The Vice President of Partnerships & Sponsorship is responsible for identifying Chapter needs that may be supported by corporate partnerships and sponsorship as well as coordinates programs to involve the business community in Chapter affairs.

Responsibilities:

  • Attend all Board meetings
  • Prepare a preliminary budget and submit to the President
  • Secure partnerships/sponsors to support events, including all processes associated with monetary sponsorships, in-kind services and the benefits afforded the chapter

Search for and secure new annual sponsorship needs:

  • Includes revising/creating contract and collecting signed copy from sponsor.
  • Includes gathering high-res jpg. of logo from sponsor and giving to the appropriate individuals.

Search for meeting sponsorships for monthly luncheons:

  • Includes Speaker Sponsors (cash) for relevant programming/speaker partnership
  • Includes Monthly Meeting Sponsors (in-kind) for added value to meeting attendees.
  • Collect logos for monthly meeting sponsors and give to VP Communication for postcard, VP Programs for the meeting PowerPoint, and Design Sponsor for creating ads to be placed in local media (includes specs for the ad)

Make sure all sponsors are aware of their benefits and reminded of their benefits

  • Includes reminding them of upcoming events and activities that they will be involved with (are a sponsor for) as well as inviting them to upcoming events.

Send out thank you notes to each sponsor throughout the program year as well as:

  • Develop and update Annual Sponsorship Plan
  • Develop Sponsorship Committee
  • Determine sponsorship levels and benefits for strategic partners and sponsorships
  • Identify Chapter needs that may be supported by corporate partnerships/sponsorship and coordinate programs to involve the business community in Chapter affairs
  • Develop, update, and maintain all materials necessary to support recruitment of partners and sponsors
  • Develop prospect lists for both cash sponsorships and in-kind services with the assistance of committee members
  • Complete calls for the purpose of obtaining strategic partnerships and sponsorships
  • Ensure partners/sponsors receive benefits in a timely manner
  • Keep accurate records of all donations and in-kind support and report activity monthly to the Treasurer
  • Work closely with VPs of Programming and Membership to find sponsorships for events
  • Responsible for measuring sponsorship dollars and in-kind donations generated

Requirements:

  • Active chapter AMA membership (required)
  • Degree in marketing, advertising, communications or related professional experience
  • Sales and marketing background
  • Successful track record of building and leading a team
  • Ability to coordinate the diverse efforts of the organization for successful development
  • Excellent interpersonal and written communication skills
  • Successful track record of building, motivating and managing a committee.
  • Ability to work cross-functionally, coordinating across a large, dynamic organization with multiple board members and committees.
  • Ability to attend 1+ Ama Phoenix events per month, either in-person or virtual
  • Ability to attend monthly board meetings

Social Media Manager

AMA Phoenix is looking for a Social Media professional with an interest in volunteering. Our Social Media Manager will be responsible for event promotion on all social media platforms, curating content, sharing post-event highlights, and helping out with some Canva graphics when necessary.

Required Time Commitment

Approximately 1-2 Hours per Week

Specific Responsibilities

  • Ensure that events are posted in a timely manner according to the content calendar.
  • Have good written communication skills.
  • Have the ability to attend monthly committee meetings. Time and day will be decided based on collective availability.
  • Share post-event highlights on social media channels.
  • Proficient with Facebook, Twitter, LinkedIn, Instagram, MeetUp, YouTube, Canva, and the Google Suite.
  • Coordinate with other committees and committee members as necessary to promote content or events throughout the organization.

Specific Requirements

  • Must have experience marketing to a B2B audience or professional organization.
  • Must be able to commit 1-2 hours per week ensuring that KPIs are being met.
  • Have the ability to attend (1)+ AMA Phoenix event per month, either in-person or virtual.

VP of Collegiate Relations

AMA Phoenix is looking for a VP of Collegiate Relations to join the board as a Volunteer. This position will require approximately 1-2 hours a week of your time and will be reporting to the AMA Phoenix President. The VP of Collegiate Relations will be responsible for representing AMA Phoenix to the local student chapters and encouraging membership post-graduation. The VP of Collegiate will act as a mentor to AMA student members and will work cross functionally with other AMA Phoenix committees to provide resources and programming to the student chapters.

Expectations and Duties

  • Develops and takes ownership of the collegiate plan, budget, and metrics reporting
  • Communicates with collegiate leadership to ensure collegiate members understand the benefits of AMA Phoenix membership in conjunction with their collegiate membership
  • Encourages collegiate participation in AMA Phoenix events and programming. Tracks student participation in the chapter.
  • Communicates to non-AMA colleges on the benefits of starting a collegiate program and helps execute the new program(s) and connects them with appropriate Support Center resources and contacts
  • Continually works to recruit and retain students’ post-college to continue with an AMA membership. Working with the Membership committee when applicable.
  • Creates and organizes collegiate programming during the board year
  • Develop mentorship program for AMA Student Chapters
  • Work with the Faculty Advisors to ensure Student Chapters have the necessary resources.

Requirements

  • Must be a current AMA Phoenix member, or be willing to obtain membership
  • Degree in marketing, advertising, communications or related professional experience preferred
  • 7+ years of experience on Marketing
  • Excellent interpersonal and written communication skills
  • Ability to work cross-functionally, coordinating across a large, dynamic organization with multiple board members and committees
  • Ability to attend monthly board meetings and weekly/bi-weekly committee meetings

Spectrum Chair

AMA Phoenix is looking for an Event Planning professional interested in serving on our board as our Spectrum Chair. This position requires 10-20 hours a week of time commitment and must be available during and after working hours as needed. The Spectrum Chair will be responsible for the overall planning and execution of AMA Phoenix’s annual Spectrum Awards. This person will provide leadership to the Spectrum committee, delegating tasks to committee members in order to hit deadlines. This person will be reporting directly to the President and President-Elect and will be working closely with all AMA Phoenix committees as needed.

Expectations and Duties:

  • Lead a committee of volunteers to plan, strategize, and execute the Spectrum Awards event. Develop a project plan and timeline, assign tasks and responsibilities to committee members, and ensure that all deadlines are met.
  • Develop and execute fundraising strategies to ensure the financial success of the event. Identify and secure event sponsors, solicit donations, and coordinate silent auction items.
  • Oversee all aspects of event planning, including venue selection, catering, entertainment, and logistics. Work with committee members to create a memorable and engaging experience for attendees.
  • Develop and execute a marketing and promotion plan to ensure maximum attendance and participation in the event. Utilize social media, email marketing, and other channels to raise awareness and generate excitement about the event.
  • Work with the AMA Phoenix Board of Directors to develop the awards program, including award categories, criteria, and judging processes. Ensure that the awards program is fair, objective, and consistent with the mission and values of AMA Phoenix.

Requirements:

  • Previous experience planning and executing successful fundraising events is required. Experience in marketing, communications, or event planning is preferred.
  • Strong leadership and management skills are required. The Spectrum Award Chair must be able to motivate and inspire volunteers, delegate tasks effectively, and work collaboratively with others.
  • Excellent communication skills are essential, including the ability to communicate effectively with volunteers, sponsors, vendors, and other stakeholders. Strong writing and editing skills are also required.
  • Strong organizational skills are essential, including the ability to manage multiple tasks and projects simultaneously, prioritize effectively, and meet deadlines.
  • A passion for marketing and a desire to recognize excellence in the field are essential. The Spectrum Award Chair must be committed to the mission and values of AMA Phoenix.

Spectrum Fundraising Activity Manager

AMA Phoenix is looking for (1) Spectrum Fundraising Activity Planner professional with an interest in joining the Board as a Volunteer. This position will require approximately 5 hours a week of your time (20 hour per month), and will be reporting to the VP of Sponsorship, with a dotted line to the Spectrum Chair. The Spectrum Fundraising Activity Planner will be responsible for building and managing a silent auction for our annual Spectrum Awards event in May 2023. This person will be responsible for overseeing donations for the events and managing the event itself day of, in addition to managing any volunteers needed to make this event successful.

Expectations and Duties:

  • Reach out to cold/warm leads to acquire donations for the event
  • Coordinate with the Spectrum Committee to develop fundraising goals and other event objectives
  • Lead all planning and execution of the silent auction and other fundraising events
  • Build and maintain relationships with donors, sponsors, and other stakeholders

Requirements:

  • 2+ years of experience in Events Planning and/or fundraising activities
  • Comfortable with making sales call to acquire donations
  • Ability to work independently within a team environment and to manage and prioritize tasks effectively
  • Comfortable using technology and able to learn new programs/tools quickly. Proficiency in using Google Drive, Microsoft Office, etc. is highly desirable.

Membership Coordinator

AMA Phoenix is looking for a Membership Coordinator with an interest in joining the Board as a Volunteer. This position only requires approximately (4) hours per month of your time, and will be reporting to the VP of Membership. The Membership Coordinator will be responsible for assisting the Membership Director(s) and VP with new membership activities and retention efforts.

Expectations and Duties

  • Works closely with the VP of Membership and the Membership Directors to develop membership retention events and activities.
  • Assists in the planning and execution of new member events.
  • Must have working knowledge of MS Office and G-suite.
  • Coordinate with other committees and committee members as necessary to achieve organizational goals.
