President-Elect

The President-Elect’s primary role is to assist the President and prepare for the upcoming year.  Under guidance from the President, the President-Elect will become familiar with the processes and procedures required to run the chapter.

The President-Elect is also expected to perform all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

Responsibilities:

  • Attend all monthly board meetings.
  • Attend most of AMA events.
  • Attend the AMA Leadership Summit immediately preceding term.
  • Oversee and Manage Annual Spectrum Awards.
  • In partnership with the President, oversee, guide, and support VP positions and committees.
  • Plan the June Board Retreat to kick-off the next chapter year.
  • Assume the responsibilities of the President in his or her absence or inability to serve.

Time Requirements: Approx. 5-10 hours per week

Secretary

The Secretary corresponds with members and others, prepares Board meeting agendas and minutes, maintains Chapter historical records and keeps current with the AMA activities.

Responsibilities:

  • Attend all monthly board meetings.
  • Maintain Chapter files including:
    • Chapter roster
    • Correspondence
    • Chapter history
    • Annual reports
    • Chapter Constitution and Bylaws (submit approved amendments to AMA)
  • Conduct election procedures including balloting and submit election ballot and results to AMA. (annual)
  • Manage and implement Board voting processes.
  • Update Board Roster Form and submit changes to AMA.
  • Prepare a roster of all Officers, committee chairs and committee members.
  • Prepared and maintain the organizational chart for the AMA Board.
  • Prepare Board meeting agenda.
  • Prepare and maintain Board meeting minutes and submit to AMA.
  • Assist President with preparation of the strategic plan.
  • Work with VPs to compile and report on monthly goals.
  • Coordinate lunch & refreshments for in-person Board Meetings
  • Work with departments to ensure that website is up to date according to the calendar and board roster.
  • Maintain the Operations calendar.
  • Maintain Chapter stationery and letterhead.
  • Prepare, collect and summarize meeting and event evaluations.
  • Help prepare Chapter Excellence Awards entry. (annual)
  • Maintain the AMA Google Drive

Time Requirements: Approx. 1-3 hours per week

Director of Public Relations

Responsibilities: Work with V.P. of Communications to promote the chapter through public relations and media relations. Work with the Spectrum Awards Committee as needed.

Responsibilities: Develop PR and publicity strategies, tactics and campaigns. Preparing press releases speeches and promotional material. Build positive relationships with stakeholders, media and the public. Draft and distribute press releases to media outlets. Promote events. Establish relationships with contacts in the local media industry. Work with the Spectrum Awards Committee as needed.

Skills: Background in PR and media relations

Time Requirements: 10 hours per month on average

Director of Creative and Brand

Responsibilities: Work with the VP of Brand on design concepts for various marketing assets – print, web, signage etc. Will also be hands on with designing marketing assets. Will manage a graphic design committee.

Preferred Skills: Creativity and great concepting and ideation skills, willingness to try new ideas, general marketing and business development skills. Photoshop, InDesign and Illustrator skills. Knowledge of HTML and WordPress is helpful but not required. Supervisory and management skills.

Time Requirements: 3 hours per week on average

Graphic Designer

Responsibilities: Work with the VP of Brand and Creative Director on design concepts for various marketing assets – print, web, signage etc. Will also be hands on with designing marketing assets.

Preferred Skills: Creativity and great concepting and ideation skills, willingness to try new ideas, Photoshop, Indesign and Illustrator skills. Knowledge of HTML and WordPress is helpful but not required.

Time Requirements: 2 hours per week on average

Director of Special Events

Responsibilities:

Work with V.P. of Programming to establish resources at potential venues and determine what AMA Phoenix will need to provide.

Help with special event planning, design and production within time limits.

Help work with clients to identify their needs and ensure customer satisfaction.

Help organize facilities and details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment and promotional material.

Work with the Spectrum Committee as needed.

Skills: Background in event planning and promotion

Time Requirements: 10 hours per month on average

Director of Event Registration and Check-In

Responsibilities: Coordinate with Programming VP on covering scheduled events. Develop a schedule for event coverage by volunteers. Work with the Spectrum Committee. Recruit and manage check-in registration volunteers.

Skills: Organized and good communicator. Supervisory and management skills

Time Requirements: 10 hours or less per month based on covering events on average

Manager of Events

Responsibilities: Source venues for AMA Phoenix events, based on direction by the Board, Programming and survey responses. Establish a list of potential venues across the Valley.

Skills: Knowledge of event planning, contacts with Chambers of Commerce and Visitors and Conventions Bureau. Work with Spectrum Committee as needed. Supervisory and management skills.

Time Requirements: 3 hours per week on average

Director of Membership Recruitment

Responsibilities: Recruit new membership using creative communication methods, including telephone calls, networking, emailing and other methods. Manage other committee members.

Preferred Skills: Creativity, willingness to try new ideas, general marketing and new business development skills. Supervisory and management skills.

Time Requirements: 3 hours per week on average

Director of Membership Retention

Responsibilities: Retain existing membership using creative communication methods and incentives, including telephone calls, networking, emailing and other methods. Manage other committee members.

Preferred Skills: Creativity, willingness to try new ideas, general marketing and business development skills. Supervisory and management skills.

Time Requirements: 3 hours per week on average
